When you interact with NuWatt Energy by phone — including calls with our AI voice agents — we may collect the following additional information:
Phone numbers you provide through website forms, chat, or other communication channels
Call recordings and transcripts from AI voice agent interactions and calls with human representatives
Call metadata, including date, time, duration, and call outcome
Booking preferences, service interests, and scheduling information expressed during calls
Your responses and stated preferences during automated and AI-powered calls
Consent records (when you provided consent, method of consent, and any revocation requests)

How We Use Phone Communication Data
In addition to the general uses described above, we use phone communication data specifically to:

AI Voice Technology
NuWatt Energy uses artificial intelligence to power our voice agents that follow up on service inquiries. Here is how our AI voice technology handles your data:
Technology provider: We use OpenAI's Realtime API to power our AI voice agents. Audio from calls is processed by OpenAI in real-time for the purpose of generating conversational responses.
Audio processing: Call audio is streamed to OpenAI's servers during the call for real-time speech-to-text conversion and response generation. OpenAI's API data usage policies apply to this processing.
Transcript storage: Call transcripts are generated during the call and stored in our secure database for customer service, compliance documentation, and quality assurance purposes.
No sale of data: We do not sell call recordings, call transcripts, or any data derived from phone conversations to third parties.
No third-party marketing: Call data is never shared with third parties for their own marketing purposes.

Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
Data Retention — Call Data
We retain phone communication data according to the following schedule:
Call recordings (audio files): Retained for 90 days from the date of the call, then automatically and permanently deleted from our systems.
Call transcripts: Retained as part of your customer record for as long as we maintain an active customer relationship, plus any additional period required by applicable law.
Call metadata (date, time, duration, outcome): Retained as part of your customer record for the same period as transcripts.
Consent records: Retained for a minimum of five (5) years from the date of consent or revocation, as required for TCPA compliance documentation.
You may request early deletion of call recordings and transcripts at any time by contacting us at privacy@nuwattenergy.com. Consent records may be retained as required by law even after other data is deleted.
ClimaIQ Mobile Application & Site Evaluation Data
When you use or interact with the ClimaIQ mobile application (used by our field representatives), the following data may be collected during a site evaluation:
Property information: Address, square footage, year built, number of stories, foundation type, insulation levels, window types, and other building characteristics
Photographs: Images of your home exterior, electrical panel, heating/cooling equipment nameplates, attic insulation, and proposed equipment locations
3D room measurements: LiDAR-captured room dimensions, wall areas, window counts, and floor plans using Apple's RoomPlan technology
Equipment information: Current HVAC system manufacturer, model number, age, and specifications extracted via optical character recognition (OCR) from equipment nameplates
Utility bill data: If you provide a utility bill for scanning, we extract usage (kWh), cost, rate, utility provider, and billing period. We only retain the last 4 digits of your account number.
GPS location: Latitude and longitude of the property for climate data lookup and design purposes
Voice recordings: If voice notes are captured during the evaluation, audio is stored locally on the device and may be transcribed using Apple's on-device speech recognition. Transcriptions are used solely for evaluation notes.
How we use this data: Site evaluation data is used exclusively to design your heat pump system, generate proposals, calculate savings estimates, apply for rebates on your behalf, and coordinate installation. We do not sell, rent, or share your site evaluation data with third parties except as necessary to provide our services (e.g., sharing equipment specifications with our installation contractors, submitting rebate applications to utility programs).
Data retention: Site evaluation data, photographs, and room measurements are retained for the duration of your project and for up to 3 years after project completion for warranty support and service records. You may request deletion of your evaluation data at any time by contacting privacy@nuwattenergy.com.
AI processing: Uploaded documents (utility bills, equipment nameplates) may be processed using AI services (including Claude by Anthropic) for data extraction. Documents are processed in real-time and are not stored by AI service providers beyond the duration of the processing request. NuWatt Energy retains the extracted structured data but not the raw document images after processing is complete.

In addition to the general rights above, you have the following rights related to phone communications and AI voice interactions:
Request a copy of any call transcript associated with your account
Request deletion of call recordings before the 90-day automatic deletion period
Opt out of future AI voice calls at any time (reply STOP to texts, tell the AI agent, call (877) 772-6357, or email team@nuwattenergy.com)
Request transfer to a live human representative during any AI voice call
Request to be placed on our internal Do-Not-Call list
Revoke your Prior Express Written Consent (PEWC) for automated communications at any time
